Privacy Policy

This Privacy Policy explains how WashFlow Pro collects, uses, stores, and shares information in connection with the WashFlow Pro website, application, admin tools, communications, billing flows, and connected services.

Effective Date: April 29, 2026 Product: WashFlow Pro

1. Information We Collect

We may collect account details, business profile information, client and job records, quotes, invoices, payment-related metadata, photos, receipts, expense details, communications content, usage data, and device or browser information needed to operate the service.

2. How We Use Information

  • To create and manage user accounts and workspaces
  • To power quoting, jobs, invoices, scheduling, expenses, payments, and photo workflows
  • To provide AI-assisted writing, analysis, categorization, and business suggestions
  • To send operational notifications, emails, texts, and support communications
  • To improve security, functionality, and reliability of the service

3. Payments and Billing Data

Subscription billing and connected payment flows may use third-party payment processors such as Stripe. WashFlow Pro does not need to store full payment card numbers directly in order to provide these services. Payment and payout information may be processed and stored by the relevant payment provider in accordance with its own privacy practices.

4. AI Features

If you use AI-assisted features, selected text, images, receipts, notes, or other content may be sent to third-party AI providers to generate outputs such as summaries, classifications, follow-up messages, receipt extraction, and photo analysis. Those outputs should be reviewed by you before use.

5. Communications

If you connect services such as Gmail, push notifications, or SMS providers, WashFlow Pro may process message-related data necessary to send business communications on your behalf. You are responsible for using those tools lawfully and with proper consent where required.

6. Data Sharing

We may share information with trusted service providers that help operate the platform, such as infrastructure, authentication, payment, storage, analytics, email, messaging, mapping, and AI providers. We may also disclose information when required by law or to protect the security, rights, or operation of the service.

7. Data Retention

We retain information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. Retention periods may vary depending on the type of data and your workspace status.

8. Security

We use reasonable technical and organizational measures designed to protect data, but no internet-based service can guarantee absolute security. You are responsible for protecting your own account credentials and device access.

9. Your Choices

You may update business information, client records, messages, photos, and expense details within the platform. You may also disconnect certain third-party integrations if those features are enabled for your workspace.

10. Children’s Privacy

WashFlow Pro is intended for business use and is not directed to children.

11. Policy Updates

We may update this Privacy Policy from time to time. Updated versions become effective when posted on this page unless otherwise stated.

12. Contact

For privacy questions or requests, use the support and contact methods made available through the WashFlow Pro website or platform.
